Managing your data storage effectively is crucial to ensure the reliability and usability of a Zendesk account. The Basics: Default Storage Limits

Over time, customers accumulates a wealth of data within your Zendesk Support account, data that is invaluable for various reasons. To maintain system performance and usability, Zendesk has established default storage limits based on your plan. These limits encompass two primary components:

  • Ticket Data Storage: This pertains to the total size of all storage objects within your Support account.
  • File Storage: This encompasses the total size of all files attached to storage objects in Support.

Here are the default storage limits according to your plan:

  • Support Team/Suite Team: 50 MB per agent for Data storage and 2 GB per agent for File storage.
  • Support Professional/Suite Growth and Professional: 100 MB per agent for Data storage and 5 GB per agent for File storage.
  • Support Enterprise/Suite Enterprise and Enterprise Plus: 200 MB per agent for Data storage and 10 GB per agent for File storage.

It's essential to note that exceeding your storage limit may require you to take action to free up space. Zendesk reserves the right to enforce product limits, including charges for additional usage or limiting usage if these limits are exceeded.

Understanding Your Data Usage

Each ticket in your Zendesk Support account is composed of multiple data storage objects, including metadata and various attachments. For instance, a custom object record is calculated as 2 KB of storage. Zendesk uses a meticulous approach to calculate your base storage 

usage.

Monitoring Storage Usage (EAP)

To empower you with better data management, Zendesk offers a storage usage dashboard (currently in a closed Early Access Program) for select customers. This dashboard provides a snapshot of your current data usage and enables you to compare it against your storage limits.

The dashboard showcases your ticket data storage and file storage usage, with easy-to-understand graphs and usage percentages. Hover over data points to get more insights, and customize your view with various time windows and granularity options.

Storage Notifications

Zendesk keeps you informed about your data usage. When you approach 80% of your storage limit, you'll receive in-product warning messages. If you exceed your limit, an error message will notify you. For account owners and billing admins, it's possible to increase your storage limits if necessary.

Taking Action: Freeing Up Space or Increasing Limits

If you find yourself nearing your storage limit, there are two key actions you can take:

  • Removing Data to Free Up Space: You can delete users, and tickets, export data to various formats, use the Incremental Exports API, or delete custom object records to make room. Note that it may take up to 24 hours for these changes to reflect on the storage dashboard.
  • Increasing Your Storage Limits: Account owners and billing admins can purchase the 'More Storage' add-on, which provides flexibility in increasing your storage limits. The additional storage options are as follows:
  • Suite Growth or above: 500 MB for Data storage and 25 GB for File storage.
  • Support Professional or above: 500 MB for Data storage and 25 GB for File storage.

This option is particularly useful if your company is expanding, anticipates accelerated growth, generates a large volume of customer service data, or uses custom objects extensively.
